Twins Trust Guidelines

From 19th July 2021 the UK government have eased restrictions and clubs are now allowed to meet without restrictions to numbers using personal judgement to manage risk.

We know many clubs are eager to return and we want to do all we can to support you to do this in a safe way. The guideline below have not been legally checked, but we have tried to digest all available information and hope that these guidelines will be useful.

Please note the Devolved Administrations are all setting out separate plans, please ensure that you read the country guidance on Coronavirus, and also any local lockdown restrictions that may be in place.

Guidelines

Although government restrictions have eased individual venues may have their own restrictions and guidelines in place.  It is important that you check with your venue and follow any procedures they have in place to keep everyone safe.

It is no longer a legal requirement to socially distance (excluding in Northern Ireland) but it’s still encouraged that you exercise caution and consider the risks.

If your venue has not implemented a maximum number of attendees, as a club you may wish to decide on a maximum number of people that you feel can safely attend your venue. 

The wearing of face covering is no longer a legal requirement but the government are recommending the use of them in crowded areas.


Collecting information for Track and Trace

It is no longer a legal requirement to collect contact details to support NHS Test and Trace, however this is still encouraged by the government.

We have provided you with an example privacy notice for Test and Trace that you should make available to participants to your event if they ask to see it.

If you decide to collect information for Test and Trace purposes you should start with the name of the visitor. If there is more than one adult in a group, then you can record the name of the ‘lead member’ of the group and the number of people in the group. You will then need to get:

  • a contact phone number for each customer or visitor, or for the lead member of a group of people, and
  • date of visit, arrival time and, where possible, departure time

You can either collect this information on a sign in sheet that you create, or you can quite easily create an NHS QR check in code (see below for further information).

If you create a sign in sheet that you ask people to sign in on, please ensure you capture the information above, and that you dispose securely this information after 21 days.


Creating an NHS QR code for check-in

If you wish to encourage people to ‘check in’ at your event you may wish to create a QR code that can be printed from the Government website.

When you create the poster, you need to enter a contact name, email address and phone number for the person organising the event, put in a postcode for the event and a name, and you can then have a poster that you can take with you and people can use the NHS Test and Trace app to check in to your event.

Your venue may provide a QR, so you in this situation you can ask people to use this rather than creating your own.

Insurance

You may have paused your Club insurance while we have not been operating for the past year.  If you are planning to start events again, then you will need to have your public liability insurance in place again. Further information about insurance is available on our web page.
